Overview
Granting a team member, client, or collaborator access to your Fathom Analytics sites is straightforward. This guide walks you through the complete process, from preparation to verification.
Prerequisites
Before inviting a user, ensure you have:
Required Information
- User's email address (preferably work email)
- List of sites the user should access
- Account owner access (only owners can invite users)
- Sufficient user slots on your plan (check plan limits)
Access Requirements
You must be the account owner to invite users. Team members cannot invite other users.
To verify you're the owner:
- Log into Fathom Analytics
- Go to Settings > Account
- Check "Account Owner" field
Plan Limits
Check your plan's team member limit:
- Starter: Limited team members (typically 1-3)
- Growth: More team members (typically 5-10)
- Business: Unlimited team members
If you've reached your limit, upgrade your plan before inviting new users.
Step-by-Step: Add User Access
Step 1: Access Team Settings
1. Log into Fathom Analytics
- Visit app.usefathom.com
- Enter your credentials
- Access your dashboard
2. Navigate to Site Settings
- Select the site you want to share
- Click Settings (gear icon)
- Click Team or Sharing tab
Alternative: If sharing multiple sites, you can invite from account settings:

Step 2: Initiate Invitation
1. Click "Invite Team Member"
- Look for button labeled "Invite Team Member" or "Add Team Member"

Best practices:
- Use work email (not personal)
- Double-check spelling

3. Select Sites to Share
Choose which sites the user can access:
Single Site:
☑ marketing.com
☐ blog.marketing.com
☐ app.marketing.com
Multiple Sites:
☑ marketing.com
☑ blog.marketing.com
☐ app.marketing.com
Recommendation: Grant access only to sites the user needs (principle of least privilege).
Step 3: Send Invitation
1. Review Details
Verify before sending:
- Email address correct
- Appropriate sites selected
- User will have read-only access
2. Click "Send Invitation"
- Button sends invitation immediately
- User receives email from Fathom
- Invitation valid for 7 days
3. Confirmation

Step 5: User Accepts Invitation
User's experience:
1. Receives Email

Subject: You've been invited to view analytics for [site]
[User Name] has invited you to view analytics for [site name].
[Accept Invitation Button]

- See user's email and access date
2. Confirm with User
Ask user to verify:
- They can access the dashboard
- They see the correct site(s)
- Data is displaying properly
3. Test Access
User should be able to:
- ✓ View pageviews
- ✓ See referrer sources
- ✓ View goal conversions
- ✓ Export reports (if plan allows)
User should NOT be able to:
- ✗ Access billing
- ✗ Modify settings
- ✗ Add/remove sites
- ✗ Manage other users
Managing Multiple Users
Adding Multiple Users at Once
Fathom doesn't support bulk invitations. To add multiple users:
1. Create list of users:
- john@company.com → marketing.com
- sarah@company.com → marketing.com, blog.company.com
- mike@agency.com → marketing.com
2. Send invitations one by one:
- Follow the standard process for each user
- Track sent invitations in spreadsheet
- Follow up on pending acceptances
3. Track progress:
User | Email Sent | Status | Sites
john@company.com | 2024-01-15 | Accepted | marketing.com
sarah@company.com | 2024-01-15 | Pending | marketing.com, blog.company.com
mike@agency.com | 2024-01-16 | Accepted | marketing.com
Granting Access to All Sites
To give a user access to all current and future sites:
Current limitation: Fathom doesn't have an "all sites" option for team members. Only the account owner has automatic access to all sites.
Workaround:
- Add user to each site individually
- Remember to add them to new sites as created
- Consider making them owner if they need full access (transfers ownership)
Special Cases
Client Access (Agency Use Case)
Scenario: Agency managing client's analytics
Setup:
- Create site for client domain
- Invite client with access to their site only
- Client sees only their data
- Agency owner sees all clients
Recommended client invitation email:
Subject: Your Website Analytics Dashboard
Hi [Client Name],
Your website analytics dashboard is ready! I've set up Fathom Analytics to track your site performance.
To access your dashboard:
1. Check your email for the Fathom invitation
2. Click to accept and create your account
3. View real-time data for your site
You'll have read-only access to view:
- Pageviews and visitor counts
- Traffic sources and referrers
- Goal conversions
- Device and browser statistics
The data is privacy-friendly (no cookies, GDPR-compliant) and updates in real-time.

Temporary Access (Consultant/Contractor)
Scenario: Grant temporary access to contractor
Setup:
- Send standard invitation
- Document access grant date
- Set calendar reminder to revoke access when project ends
- Remove access when project completes
Best practice: Include access duration in initial communication:
"I'm granting you access to our analytics for the duration of the project
(estimated 3 months). Access will be revoked when the project completes."
Developer Access
Scenario: Developer needs to verify tracking implementation
Setup:
- Grant access to relevant site(s)
- Provide goal IDs and implementation details
- Access to verify events are firing
- Remove access after implementation complete (optional)
Tip: Developers may only need temporary access for setup/debugging.
Troubleshooting
Invitation Not Received
Possible causes and solutions:
1. Email in spam/junk folder
- Ask user to check spam
- Whitelist
@usefathom.com
2. Incorrect email address
- Verify spelling
- Resend to correct address
- Remove incorrect invitation
3. Email delivery issues
- User's email server blocking Fathom
- Request IT to whitelist sender
- Try alternate email address
4. Firewall blocking
- Corporate firewall blocking email
- Contact IT department
- Use personal email temporarily
Cannot Send Invitation
Possible causes and solutions:
1. Not account owner
- Only owners can invite users
- Request owner to send invitation
- Or transfer ownership (if appropriate)
2. Plan limit reached
- Check team member limit
- Upgrade plan
- Or remove inactive users
3. Site not properly configured
- Verify site exists and is active
- Check site settings
- Contact Fathom support
User Accepted But Can't See Data
Possible causes and solutions:
1. Wrong account
- User logged into different Fathom account
- Verify correct email used
- Re-send invitation if needed
2. Sites not granted
- Check which sites user has access to
- Add missing sites
- User refreshes dashboard
- Clear browser cache
- Try incognito/private mode
- Try different browser
4. No data yet
- Site might be new with no traffic
- Verify tracking installed
- Check if data is being collected
Best Practices
Security
1. Verify recipient identity
- Confirm email belongs to intended person
- Use work emails when possible
- Avoid shared email addresses
2. Grant minimum necessary access
Good: Grant access to specific sites user needs
Avoid: Grant access to all sites "just in case"
3. Document access grants
- Maintain list of who has access
- Include grant date
- Note reason for access
- Set review dates
Communication
1. Set expectations upfront
- Explain read-only access
- Clarify what they can/cannot do
- Provide support contact
- Share relevant documentation
2. Provide context
- Explain which sites they're accessing
- Share key metrics to watch
- Provide reporting schedule (if any)
- Offer training if needed
Organization
1. Use consistent naming
- Clear site names in Fathom
- Easy to identify when granting access
2. Track invitations
- Spreadsheet of sent invitations
- Note acceptance status
- Set reminders for follow-up
3. Regular audits
- Quarterly review of all users
- Remove inactive users
- Update access as needed
