When to Update Access
- Team member changes role and needs different permissions
- Contractor finishes a project and should be downgraded to view-only
- New plan tier changes available user seats
- A user needs broader or narrower access to snapshots and recordings

Owner -- Account creator with full control including billing. One per account.
Admin -- Can create snapshots, run tests, and manage users. Cannot change billing.
Viewer -- Read-only access to all snapshots, recordings, and reports.

Changing a role does not consume a seat. You only hit the limit when adding new users.
Changing a User's Role
- Go to Account then Team
- Find the user in the team list
- Click the role dropdown next to their name
- Select Admin or Viewer
- Confirm the change -- it takes effect immediately
Snapshot and Recording Access
Crazy Egg does not offer per-snapshot permissions. All team members see all snapshots and recordings. To restrict visibility:
- Use separate accounts for different clients or sensitive projects
- Downgrade users to Viewer when they should not create snapshots but can still see existing data
- For agencies, create one Crazy Egg account per client rather than sharing one across all clients
Common Role Changes
Promote to Admin -- When a team member needs to create snapshots or run A/B tests. They gain editing capabilities but still cannot access billing.
Downgrade to Viewer -- For contractors wrapping up or stakeholders who only review data. They keep access to all existing snapshots and recordings but cannot create or modify anything.
Common Issues
Cannot change a user's role -- Only the Owner and Admins can modify roles. Check your own role under Account then Team.
User cannot see snapshots after role change -- Ask the user to refresh the page or clear browser cache. Changes are instant but cached pages may show stale data.
Seat limit error when editing a role -- Changing an existing user's role does not require a seat. If you see this error, you may be adding a new user instead of editing one.
Best Practices
- Review roles quarterly and downgrade anyone who no longer needs Admin
- Most stakeholders only need Viewer access
- Document role changes with the date, reason, and approver
- Keep at least two Admins to avoid being locked out if one person is unavailable
