Adding and Removing Contributors in Squarespace

Step-by-step guide to adding, modifying, and removing contributor access on Squarespace websites.

This guide provides detailed, step-by-step instructions for managing contributor access to your Squarespace website.


Before You Begin

Requirements

To manage contributors, you must be:

  • The site Owner, OR
  • An Administrator

Information You'll Need

  • Email address of the contributor
  • Desired permission level (see Roles and Permissions)
  • Reason for access (for documentation)

Plan Requirements

  • Personal Plan: Maximum 2 contributors
  • Business Plan and above: Unlimited contributors

Adding Contributors

Step 1: Access Permissions Settings

  1. Log in to your Squarespace website
  2. Click Settings in the left sidebar
  3. Click Permissions

Alternative path:

  • Settings > Site Management > Permissions

Step 2: Invite a Contributor

  1. On the Permissions page, click Invite Contributor

  2. Enter the contributor's email address

    • Must be a valid email
    • They'll receive an invitation at this address
    • Can be any email (doesn't need existing Squarespace account)
  3. Click Continue or Next

Step 3: Choose Permission Level

Select the appropriate permission level:

Common Options:

  • Administrator - Full site access (except billing/ownership)
  • Website Editor - Edit pages and content
  • Store Manager - Manage products and orders
  • Blog Editor - Create and edit blog posts
  • Reporting - View analytics only

  • Choose the minimum access needed

Include a message with the invitation:

Step 5: Send Invitation

  1. Click Send Invitation (or Invite)
  2. Contributor will receive email invitation
  3. You'll see them in the Contributors list as "Pending"

What Happens Next

Contributor's Experience

  1. Receives Email:

  2. Accepts Invitation:

    • Clicks link in email
    • Creates Squarespace account (if they don't have one)
    • Or logs in to existing account
    • Confirms acceptance
  3. Gains Access:

    • Can now log in to your site
    • Access level based on permission granted
    • Appears as "Active" in your Contributors list

If They Don't Receive Email

Common issues:

  • Check spam/junk folder
  • Verify correct email address
  • Email filters blocking Squarespace
  • Corporate email blocking

Solutions:


Resending Invitations

If contributor didn't receive or lost the invitation:

  1. Go to Settings > Permissions
  2. Find contributor in list (shows as "Pending")
  3. Click Resend Invitation or ··· (three dots) > Resend
  4. New invitation email sent

Note: Original invitation link expires after a certain time. Resending creates a new link.


Changing Contributor Permissions

Updating an Existing Contributor

  1. Go to Settings > Permissions
  2. Find the contributor in the list
  3. Click ··· (three dots) next to their name
  4. Select Edit Permissions (or Change Permission)
  5. Choose new permission level
  6. Click Save or Update

Changes take effect immediately.

When to Update Permissions

Upgrade:

  • Project scope increases
  • Temporary needs (upgrade, then downgrade later)
  • Role change at company

Downgrade:

  • Project phase complete (Administrator → Website Editor)
  • Ongoing maintenance vs. initial build
  • Security best practice (reduce to minimum needed)

Example Flow:

  1. Web designer starts: Administrator (building site)
  2. Site launches: Downgrade to Website Editor (ongoing updates)
  3. Project ends: Remove (no longer needed)

Removing Contributors

When to Remove Access

Remove contributors when:

  • Project is complete
  • Contract ends
  • Employee leaves company
  • Relationship ends
  • Access no longer needed
  • Security concern

Best Practice: Remove immediately when no longer needed. Don't wait.

Step 1: Access Permissions

  1. Go to Settings > Permissions
  2. Review current contributors list

Step 2: Remove Contributor

  1. Find the contributor you want to remove
  2. Click ··· (three dots) next to their name
  3. Select Remove (or Remove Contributor)
  4. Confirm removal when prompted
  5. Click Remove or Yes, Remove

Changes take effect immediately.

What Happens When You Remove

Immediately:

  • Contributor loses all access to your site
  • Cannot log in anymore
  • Cannot view any site data

Does NOT:

  • Delete their Squarespace account (if they have one)
  • Affect their access to other sites
  • Delete their email address

They Will NOT:

  • Receive notification of removal (usually)
  • Have any warning
  • Be able to access the site

Removing vs. Changing Permissions

Temporary Reduction

If you might need them again soon:

  • Option 1: Change to Reporting (read-only)
  • Option 2: Remove now, re-add later if needed

Complete Removal

If definitely no longer needed:

  • Remove completely
  • Cleaner and more secure
  • Easy to re-add if needed later

Recommendation:

  • When in doubt, remove
  • Better to re-add than leave unnecessary access
  • Security over convenience

Managing Multiple Contributors

Viewing All Contributors

Settings > Permissions shows:

  • All active contributors
  • Pending invitations
  • Permission level for each
  • Email address

Tips:

  • Review this list regularly (monthly or quarterly)
  • Remove inactive users
  • Verify everyone still needs access

Organizing Contributors

Squarespace doesn't offer:

  • Groups or teams
  • Folders or categories
  • Tags or labels

Initial Setup:

Permission: Administrator

  2. Or Remove (if one-time project)

Scenario 2: Adding Content Team

Multiple Writers:

Writer 1: Blog Editor
Writer 2: Blog Editor

Over Time:

  • Remove writers when they leave

Scenario 4: Client Wants to See Analytics

Two Options:

Option 1: Squarespace Access

  • Add as Reporting (view analytics only)
  • Safe, read-only access

Option 2: Google Analytics

  • Don't give Squarespace access
  • Share GA4 property access instead
  • More detailed analytics
  • No Squarespace site access

Recommendation: Option 2 is usually better for ongoing analytics access.


Troubleshooting

Issue: Can't Add Contributor

Possible Causes:

  1. Plan Limitation:

    • Personal plan: Max 2 contributors
    • Solution: Upgrade to Business plan or remove inactive contributor
  2. Not Owner or Administrator:

    • Only Owner/Admin can add contributors
    • Solution: Ask site owner to grant access
