Lucky Orange User Management

Manage user roles, permissions, and team access in Lucky Orange — step-by-step admin guide.

User Management Overview

Lucky Orange provides robust team management capabilities that allow account owners to collaborate with team members while maintaining control over access levels and permissions. The platform's user management system is designed to support agencies, in-house teams, and businesses of all sizes.

Understanding Lucky Orange Team Management

Account Structure

Lucky Orange uses a straightforward team-based structure where:

  • Each Lucky Orange account can have multiple team members
  • Team members are added per website/project
  • Users can have different roles across different websites within the same account
  • The account owner has ultimate control over all team members and settings

Available User Roles

Lucky Orange offers three distinct user roles, each with specific permissions:

Owner

The Owner role has complete access to all Lucky Orange features and settings:

  • Full access to all recordings, heatmaps, and analytics data
  • Can manage billing and subscription settings
  • Can add, remove, and modify team members
  • Can access and modify all website settings
  • Can view and manage API integrations
  • Can access all form analytics and conversion funnels
  • Only one Owner per account (the original account creator)

Admin

Admins have extensive access but cannot modify billing or subscription details:

  • Full access to all recordings, heatmaps, and analytics data
  • Can add and remove team members (except the Owner)
  • Can modify website tracking settings
  • Can create and manage conversion funnels
  • Can access form analytics and surveys
  • Cannot access billing or subscription settings
  • Cannot remove the account Owner

User

The standard User role provides read-only access to analytics data:

  • Can view session recordings and playback
  • Can view heatmaps and scroll maps
  • Can access live visitor monitoring
  • Can view form analytics data
  • Cannot modify any settings or configurations
  • Cannot add or remove team members
  • Cannot access billing information
  • Cannot modify conversion funnels or goals

Team Management Dashboard

Access the team management dashboard through Settings > Team Management. This centralized interface displays:

  • A list of all current team members with their roles
  • Email addresses and last login dates
  • Pending invitations and their status
  • Quick actions for editing or removing users
  • Website-specific access controls

Common Team Management Scenarios

Agency Use Cases

For agencies managing multiple client websites:

  • Create separate Lucky Orange accounts for each client
  • Add agency team members as Admins to access client data
  • Grant clients User-level access to view their own analytics
  • Use Admin privileges to configure tracking without giving clients full control

In-House Teams

For internal marketing and product teams:

  • Add executives and stakeholders as Users for reporting access
  • Grant Admins to team leads who manage conversion optimization
  • Maintain Owner access for the digital analytics manager
  • Provide User access to customer support teams for session replay review

Contractor and Freelancer Management

When working with temporary team members:

  • Add contractors as Users for limited, time-bound access
  • Grant Admin access to senior consultants managing projects
  • Remove access immediately when contracts end
  • Use pending invitations to prepare for new contractor onboarding

Best Practices for Team Management

Security and Access Control

  1. Principle of Least Privilege: Grant users the minimum access level needed for their responsibilities
  2. Regular Audits: Review team members quarterly to ensure only active employees have access
  3. Prompt Removal: Remove access immediately when team members leave the organization
  4. Email Verification: Ensure team members use company email addresses for easier tracking

Team Organization

  1. Role Assignments: Clearly define who needs Admin vs. User access before adding team members
  2. Documentation: Maintain an internal record of who has access to Lucky Orange and why
  3. Onboarding Process: Create a standardized process for granting access to new team members
  4. Communication: Notify team members when their access level changes

Data Privacy and Compliance

  1. GDPR Considerations: Limit access to personal data visible in recordings to only those who need it
  2. Training: Ensure all team members understand data privacy obligations
  3. Session Filtering: Use Lucky Orange's privacy features to mask sensitive information
  4. Access Logs: Regularly review who is accessing customer session data

Troubleshooting Common Issues

Team Member Not Receiving Invitation

If a team member doesn't receive their invitation email:

  1. Check that the email address was entered correctly in the invitation
  2. Ask the team member to check their spam/junk folder
  3. Verify the email isn't being blocked by corporate email filters
  4. Resend the invitation from the Team Management dashboard
  5. Try using an alternative email address if the issue persists

Cannot Add More Team Members

If you've reached your team member limit:

  1. Check your current Lucky Orange plan's team member allowance
  2. Review existing team members and remove inactive users
  3. Consider upgrading to a higher-tier plan for more seats
  4. Contact Lucky Orange support for enterprise options

Team Member Cannot See Expected Data

When a team member reports missing data or features:

  1. Verify their user role matches their required permissions
  2. Confirm they're logged into the correct Lucky Orange account
  3. Check if they have access to the specific website in question
  4. Ensure the tracking code is properly installed and collecting data
  5. Clear browser cache and cookies, then log in again

Accidental Team Member Removal

If you accidentally remove a team member:

  1. Immediately re-invite them using the Add Team Member function
  2. Their previous role will need to be reassigned
  3. They'll receive a new invitation email
  4. Historical data remains intact (removal doesn't delete data)

Email Address Already in Use

If you see an error that an email is already associated with Lucky Orange:

  1. The person may already have a Lucky Orange account
  2. They may be a member of another account
  3. Have them log in with existing credentials
  4. Contact Lucky Orange support to merge or transfer accounts if needed
