Add User Access — Spotify Ad Studio Team Member Invitation

Step-by-step guide to inviting new team members to Spotify Ad Studio with role assignment, invitation verification, and access confirmation.

Prerequisites

Before inviting a new team member to Spotify Ad Studio:

  • You must have Admin role on the Ad Studio account. Editors and Viewers cannot invite users.
  • The new user needs a valid email address. They will need a Spotify account (free or premium) linked to this email to accept the invitation.
  • Decide the appropriate role before inviting: Admin, Editor, or Viewer. See the User Management overview for role details.

Step 1: Navigate to Team Members

  1. Log in to Spotify Ad Studio with your Admin account.
  2. Click the account menu in the top-right corner (your name or avatar).
  3. Select Account Settings from the dropdown.
  4. Click the Team Members tab.

You will see the current list of team members with their email, role, and status (Active or Pending).

Step 2: Send the Invitation

  1. Click Invite Team Member (button at the top of the Team Members list).
  2. Enter the user's email address in the email field.
  3. Select the role from the dropdown:
    • Admin -- full access including billing and team management.
    • Editor -- campaign creation and management, creative uploads, full reporting. No billing or team management.
    • Viewer -- read-only access to campaigns and reports. Cannot export data.
  4. Click Send Invitation.

The user receives an email invitation from Spotify Ad Studio. The invitation includes a link to accept access.

Step 3: User Accepts the Invitation

The invited user must:

  1. Open the invitation email from Spotify Ad Studio.
  2. Click the Accept Invitation link.
  3. Sign in to their Spotify account (or create one if they do not have one). The Spotify account must use the same email address that received the invitation.
  4. After signing in, they are redirected to Ad Studio with their assigned role active.

If the user does not see the invitation email, check their spam folder. You can also resend the invitation from Team Members by clicking Resend next to their pending entry.

Step 4: Verify Access

After the user accepts:

  1. Return to Account Settings > Team Members.
  2. Confirm the user's status shows Active (not Pending).
  3. Confirm the correct role is displayed next to their name.
  4. Ask the user to log in and confirm they can see the expected campaigns and data.

If the user accepted but their status still shows Pending, have them log out and log back in. If it persists, remove the invitation and resend it.

Inviting Multiple Users

Ad Studio does not support bulk invitations. Each user must be invited individually through the Team Members UI. For large teams, plan invitation rounds and verify each batch before proceeding to the next.

Invitation Expiration

Spotify Ad Studio invitations do not expire automatically, but pending invitations that remain unaccepted for an extended period may become stale. If a user reports the invitation link no longer works:

  1. Go to Team Members.
  2. Remove the pending invitation.
  3. Re-invite the user with a fresh invitation.

Change Control Documentation

After adding a user, record the following for your access log:

  • User email address
  • Role assigned
  • Date invitation sent
  • Date access confirmed (status changed to Active)
  • Business justification for access
  • Approver name
  • Next review date

Troubleshooting

User cannot find the invitation email:

  • Check the spam/junk folder.
  • Confirm the email address was entered correctly in the invitation.
  • Resend from Team Members.

User has a Spotify account with a different email:

  • The user must either update their Spotify account email to match the invitation, or you must resend the invitation to the email associated with their Spotify account.

"This invitation is no longer valid" error:

  • Remove the pending invitation and resend.

User accepted but cannot see campaigns:

  • Verify their role in Team Members.
  • Have them refresh the page or log out and back in.
  • If the ad account has no active campaigns, the dashboard will appear empty -- this is expected.
