Adding and Removing Weebly Users

Prerequisites

To manage users, you must have:

  • Weebly account owner access, OR
  • Admin role with user management permissions
  • Appropriate Weebly plan (Pro or higher for multiple editors)

Plan Limits:

  • Free/Starter: 1 user (owner only)
  • Pro: Up to 2 contributors
  • Business: Up to 10 contributors
  • Performance: Up to 25 contributors

Adding Users to Weebly

Method 1: Add Site Contributors

Best for: Adding editors to specific sites

Step 1: Access Site Settings

Site Dashboard → Settings → General → Contributors

Step 2: Invite Contributor

  1. Click "Add Contributor" button
  2. Enter contributor information:

Required Fields:

  • Email address: Must be valid email (receives invitation)
  • Name: Contributor's full name
  • Role: Select permission level

Role Options:

  • Admin: Full site editing and settings
  • Editor: Content editing, limited settings
  • Author: Blog post creation only

Step 3: Set Permissions

Admin permissions:

Editor permissions:

Step 4: Send Invitation

  1. Click "Send Invitation"
  2. Email sent to contributor containing:
    • Link to accept invitation
    • Site name and URL
    • Your contact information
  3. Status shows "Pending" until accepted

Invitation expiration: 7 days

Step 5: Contributor Accepts Invitation

Contributor receives email and:

  1. Clicks invitation link
  2. Creates Weebly account (if new user) or logs in
  3. Accepts invitation
  4. Gains access to site editor with assigned role

Method 2: Add Team Members (Account Level)

For Weebly accounts with multiple sites:

Access Team Settings

Account → Team → Add Team Member

Team member vs. Site contributor:

  • Team member: Account-level access, multiple sites
  • Site contributor: Single site access only

Add team member:

  1. Enter email address
  2. Assign sites they can access
  3. Set role per site
  4. Send invitation

Best for:

  • Agency teams managing multiple client sites
  • Organizations with many Weebly sites
  • Staff needing cross-site access

Method 3: Temporary Editor Access

For one-time edits or short-term projects:

Site Settings → Sharing → Generate Guest Link

Configuration:

  • Expiration: Set time limit (hours/days)

Managing Existing Contributors

View Current Contributors

Access contributor list:

Site Dashboard → Settings → General → Contributors

Information displayed:

  • Name and email

  • Status (Active/Pending)
  • Date added
  • Last accessed

Edit Contributor Permissions

  1. Navigate to: Settings → Contributors
  2. Click contributor name
  3. Change role:
    • Upgrade: Author → Editor → Admin
    • Downgrade: Admin → Editor → Author
  4. Click "Save"

When to change permissions:

  • Role expansion
  • Project phase changes
  • Trust level increases

Resend Invitation

For pending invitations:

Settings → Contributors → Find pending user → Resend

Reasons to resend:

  • Invitation expired (7 days)

Temporarily Disable Access

Pause access without deletion:

  1. Edit contributor
  2. Role: Change to "No Access"

Removing Contributors from Weebly

Pre-Removal Checklist

Before removing a contributor:

  • Review their contributions: Check recent edits

  • Document removal: Note reason and date
  • Check active edits: Ensure no unsaved work

Method 1: Remove Site Contributor

Step 1: Navigate to Contributors

Site Dashboard → Settings → General → Contributors

Step 2: Select Contributor

  1. Find contributor in list
  2. Hover over name to reveal actions

Step 3: Remove Contributor

  1. Click "Remove" or trash icon
  2. Confirmation dialog:
    Remove [Name] from this site?
    They will no longer be able to access or edit this site.
    Their contributions will remain.
    
  3. Click "Remove" to confirm

What happens:

  • Access revoked immediately
  • Cannot access site editor
  • Published work remains
  • Blog posts retained
  • No notification sent (manual notification recommended)

Method 2: Remove Team Member (Account Level)

For account-level team members:

Account → Team → Select member → Remove from Team

Effects:

  • Removed from all sites in account
  • Account access revoked
  • Site contributions preserved

Method 3: Bulk Contributor Management

Weebly doesn't support bulk removal:

  • Remove contributors one at a time
  • Document each removal
  • Maintain removal log

Workflow for multiple removals:

  1. Create removal checklist
  2. Remove one contributor
  3. Document removal
  4. Proceed to next
  5. Review completed removals

Special Scenarios

Removing Site Owner

Site owner cannot be removed, only transferred

Transfer site ownership:

Site Settings → General → Transfer Site

Process:

  1. Enter new owner's email
  2. Send transfer request
  3. New owner accepts
  4. Ownership transfers
  5. Original owner becomes contributor or removed

Invitation Not Received
