To manage contributors, you must be:
- The site Owner, OR
- An Administrator
Information You'll Need
- Email address of the contributor
- Desired permission level (see Roles and Permissions)
- Reason for access (for documentation)
Plan Requirements
- Personal Plan: Maximum 2 contributors
- Business Plan and above: Unlimited contributors
Adding Contributors
Step 1: Access Permissions Settings
- Log in to your Squarespace website
- Click Settings in the left sidebar
- Click Permissions
Alternative path:
- Settings > Site Management > Permissions
Step 2: Invite a Contributor
On the Permissions page, click Invite Contributor
Enter the contributor's email address
- Must be a valid email
- They'll receive an invitation at this address
- Can be any email (doesn't need existing Squarespace account)
Click Continue or Next
Step 3: Choose Permission Level
Select the appropriate permission level:
Common Options:
- Administrator - Full site access (except billing/ownership)
- Website Editor - Edit pages and content
- Store Manager - Manage products and orders
- Blog Editor - Create and edit blog posts
- Reporting - View analytics only
Tips:
- Choose the minimum access needed
- See Roles and Permissions for detailed breakdown
- You can change this later if needed
Step 4: Add Optional Message (Recommended)
Include a message with the invitation:
- Explain why you're granting access
- Set expectations (timeline, scope)
- Provide contact info for questions
- Include any onboarding information
Example Message:
Hi [Name],
I'm granting you [Permission Level] access to our Squarespace site to [purpose/project].
Your access will be active for [timeframe].
Please reach out if you have any questions.
Thanks,
[Your Name]
Step 5: Send Invitation
- Click Send Invitation (or Invite)
- Contributor will receive email invitation
- You'll see them in the Contributors list as "Pending"
What Happens Next
Contributor's Experience
Receives Email:
- Subject: "You're invited to contribute to [Site Name]"
- From: Squarespace (noreply@squarespace.com)
Accepts Invitation:
- Clicks link in email
- Creates Squarespace account (if they don't have one)
- Or logs in to existing account
- Confirms acceptance
Gains Access:
- Can now log in to your site
- Access level based on permission granted
- Appears as "Active" in your Contributors list
If They Don't Receive Email
Common issues:
- Check spam/junk folder
- Verify correct email address
- Email filters blocking Squarespace
- Corporate email blocking
Solutions:
- Resend invitation (see below)
- Try different email address
- Add noreply@squarespace.com to contacts/whitelist
Resending Invitations
If contributor didn't receive or lost the invitation:
- Go to Settings > Permissions
- Find contributor in list (shows as "Pending")
- Click Resend Invitation or ··· (three dots) > Resend
- New invitation email sent
Note: Original invitation link expires after a certain time. Resending creates a new link.
Changing Contributor Permissions
Updating an Existing Contributor
- Go to Settings > Permissions
- Find the contributor in the list
- Click ··· (three dots) next to their name
- Select Edit Permissions (or Change Permission)
- Choose new permission level
- Click Save or Update
Changes take effect immediately.
When to Update Permissions
Upgrade:
- Project scope increases
- Temporary needs (upgrade, then downgrade later)
- Role change at company
Downgrade:
- Project phase complete (Administrator → Website Editor)
- Ongoing maintenance vs. initial build
- Security best practice (reduce to minimum needed)
Example Flow:
- Web designer starts: Administrator (building site)
- Site launches: Downgrade to Website Editor (ongoing updates)
- Project ends: Remove (no longer needed)
Removing Contributors
When to Remove Access
Remove contributors when:
- Project is complete
- Contract ends
- Employee leaves company
- Relationship ends
- Access no longer needed
- Security concern
Best Practice: Remove immediately when no longer needed. Don't wait.
Step 1: Access Permissions
- Go to Settings > Permissions
- Review current contributors list
Step 2: Remove Contributor
- Find the contributor you want to remove
- Click ··· (three dots) next to their name
- Select Remove (or Remove Contributor)
- Confirm removal when prompted
- Click Remove or Yes, Remove
Changes take effect immediately.
What Happens When You Remove
Immediately:
- Contributor loses all access to your site
- Cannot log in anymore
- Cannot view any site data
Does NOT:
- Delete their Squarespace account (if they have one)
- Affect their access to other sites
- Delete their email address
They Will NOT:
- Receive notification of removal (usually)
- Have any warning
- Be able to access the site
Removing vs. Changing Permissions
Temporary Reduction
If you might need them again soon:
- Option 1: Change to Reporting (read-only)
- Option 2: Remove now, re-add later if needed
Complete Removal
If definitely no longer needed:
- Remove completely
- Cleaner and more secure
- Easy to re-add if needed later
Recommendation:
- When in doubt, remove
- Better to re-add than leave unnecessary access
- Security over convenience
Managing Multiple Contributors
Viewing All Contributors
Settings > Permissions shows:
- All active contributors
- Pending invitations
- Permission level for each
- Email address
Tips:
- Review this list regularly (monthly or quarterly)
- Remove inactive users
- Verify everyone still needs access
Organizing Contributors
Squarespace doesn't offer:
- Groups or teams
- Folders or categories
- Tags or labels
Workaround: Keep external documentation:
Contributors Log:
- John Designer (john@agency.com) - Administrator - Added 2024-01-15 - Website redesign
- Sarah Writer (sarah@content.co) - Blog Editor - Added 2024-02-01 - Ongoing blog content
- Mike Analyst (mike@data.com) - Reporting - Added 2024-03-01 - Monthly reporting
Common Scenarios
Scenario 1: Adding a Web Designer
Initial Setup:
Email: designer@agency.com
Permission: Administrator
Message: "Building new site, will reduce access after launch"
After Launch:
- Change to Website Editor (if ongoing support)
- Or Remove (if one-time project)
Scenario 2: Adding Content Team
Multiple Writers:
Writer 1: Blog Editor
Writer 2: Blog Editor
Editor Lead: Website Editor (broader access)
Marketing Manager: Administrator (full access)
Over Time:
- Remove writers when they leave
- Adjust permissions as roles change
Scenario 3: Temporary Project
Consultant Needs Access:
- Add as Administrator (if needed)
- Set calendar reminder for project end date
- Remove on completion
- Document in contributor log
Example:
Analytics Consultant
- Added: 2024-01-15 as Administrator
- Purpose: Implement GA4 tracking
- Expected completion: 2024-02-15
- Removed: 2024-02-16 (project complete)
Scenario 4: Client Wants to See Analytics
Two Options:
Option 1: Squarespace Access
- Add as Reporting (view analytics only)
- Safe, read-only access
Option 2: Google Analytics
- Don't give Squarespace access
- Share GA4 property access instead
- More detailed analytics
- No Squarespace site access
Recommendation: Option 2 is usually better for ongoing analytics access.
Troubleshooting
Issue: Can't Add Contributor
Possible Causes:
Plan Limitation:
- Personal plan: Max 2 contributors
- Solution: Upgrade to Business plan or remove inactive contributor
Not Owner or Administrator:
- Only Owner/Admin can add contributors
- Solution: Ask site owner to grant access
Email Already Has Access:
- Person is already a contributor
- Solution: Check contributors list, or use different email
Issue: Contributor Can't Accept Invitation
Common Problems:
Email Not Received:
- Check spam/junk folder
- Verify correct email address
- Resend invitation
Link Expired:
- Invitations expire after some time
- Resend invitation (creates new link)
Account Issues:
- Problems with Squarespace account creation
- Try different email
- Contact Squarespace support
Issue: Removed Contributor Can Still Access
Should not happen, but if it does:
Verify Removal:
- Check Settings > Permissions
- Ensure they're not in the list
Clear Cache:
- Sometimes takes a moment
- Wait a few minutes
- Have them try logging out and back in
Multiple Accounts:
- Might have access via different email
- Check for multiple listings with similar names
Contact Squarespace:
- If still issues after verification
- Support can verify removal
Issue: Can't Remove Contributor
Reasons:
You're Not Owner/Admin:
- Only Owner/Admin can remove
- Solution: Ask site owner
Trying to Remove Owner:
- Cannot remove site owner
- Must transfer ownership first
Best Practices
1. Document Everything
Keep a log of:
- Who has access
- What permission level
- Why they have access
- When added
- When removed
Sample Log:
Contributor Access Log - [Site Name]
Active:
- Jane Designer (jane@agency.com)
- Permission: Website Editor
- Added: 2024-01-15
- Purpose: Ongoing content updates
- Review: 2024-07-15
Removed:
- John Developer (john@dev.com)
- Permission: Administrator
- Added: 2024-01-01
- Removed: 2024-03-15
- Reason: Site build complete
2. Regular Audits
Schedule regular reviews:
- Monthly: Quick review of active contributors
- Quarterly: Detailed audit and documentation update
- After Projects: Remove temporary access immediately
3. Communication
When Adding:
- Explain what they can do
- Set expectations for timeline
- Provide training or resources if needed
When Removing:
- Professional communication (if ongoing relationship)
- Thank them for their work
- Provide alternative contact if needed
When Changing:
- Notify of permission changes
- Explain why (if appropriate)
- Update any documentation
4. Security First
- Remove access immediately when no longer needed
- Don't leave "just in case" access active
- Use minimum permission level required
- Regular audits to catch forgotten access
