Update User Access
Use this runbook to modify permissions for existing users in Pinterest Business Hub. This includes changing ad account roles, adding or removing asset access, or adjusting permissions without removing the user entirely.
When to Update Access
- User's role or responsibilities change (promotion, department transfer, project completion)
- User needs access to additional ad accounts or assets
- User no longer needs access to certain assets but should retain others
- User's role needs to be downgraded (Admin to Limited Advertiser, Limited Advertiser to Analyst)
- User's access was incorrectly configured during initial invite
- Temporary access period has expired and needs renewal or adjustment
Prerequisites
- Business Admin rights on the Pinterest Business Hub account.
- Understanding of the user's current permissions and what needs to change.
- Approval from manager or business owner for the access change.
- Documentation of the reason for the change.
Update Workflow
Step 1: Navigate to User Settings
- Go to Pinterest Business Hub (business.pinterest.com) and sign in.
- Click the Settings icon (gear) in the left sidebar.
- Select People under the Business settings section.
- Find the user you want to update in the People list.
Step 2: Edit User Permissions
- Click on the user's name or the Edit icon next to their entry.
- The user's current permissions will be displayed, showing all assigned assets and roles.
Step 3: Modify Ad Account Roles
To change the user's role on an ad account:
- In the Ad accounts section, locate the ad account you want to modify.
- Click the role dropdown next to the ad account.
- Select the new role:
- Owner: Full control including billing, user management, and account deletion.
- Admin: Can manage campaigns, billing, and users. Cannot delete the account.
- Limited Advertiser: Can create and edit campaigns. Cannot access billing or user management.
- Analyst: View-only access to reporting and campaign data.
- Click Save or Update to apply the change.
Common role changes:
- Promotion: Limited Advertiser → Admin (when user takes on team management)
- Restriction: Admin → Limited Advertiser (when removing billing access)
- Reporting only: Limited Advertiser → Analyst (when user moves to analysis role)
Step 4: Add or Remove Ad Accounts
To grant access to additional ad accounts:
- In the Ad accounts section, click Add ad account.
- Select the ad account(s) to add.
- Choose the appropriate role for each new ad account.
- Click Save or Update.
To remove access to an ad account:
- In the Ad accounts section, find the ad account to remove.
- Click the X or Remove button next to the ad account.
- Confirm the removal.
- Click Save or Update.
Step 5: Modify Asset Permissions
Update Pinterest Tag Access
- In the Tags section, locate the tag to modify.
- Change the role (Admin or Analyst) or remove the tag entirely.
- To add new tag access, click Add tag and select the tag(s).
Update Catalog Access
- In the Catalogs section, locate the catalog to modify.
- Change the role (Admin, Editor, or Analyst) or remove the catalog.
- To add new catalog access, click Add catalog and select the catalog(s).
Update Conversion Event Access
- In the Conversion events section, modify which events the user can access.
- Add or remove conversion events based on the user's needs.
Update Audience Access
- In the Audiences section, modify which audiences the user can access.
- Add or remove audiences based on the user's campaign responsibilities.
Step 6: Review and Save Changes
- Review all changes to ensure they match the intended access update.
- Add a note (if available) documenting the reason for the change.
- Click Save or Update to apply all changes.
- Verify the user's updated permissions appear correctly in the People list.
Post-Update Follow-Up
User Notification
- Pinterest may send an automated email to the user notifying them of permission changes.
- Inform the user directly about the changes, especially if access was removed or restricted.
- Explain the reason for the change and any impact on their work.
Access Verification
- Ask the user to log in and confirm they can (or cannot) access the modified assets.
- Verify the user sees the correct ad accounts and assets in their Pinterest Ads Manager.
- Test any new permissions to ensure they work as expected.
Documentation Update
- Update your access log with:
- Date of permission change.
- What changed (role upgrade/downgrade, assets added/removed).
- Reason for the change.
- Who approved the change.
- Capture a screenshot from Business Hub → People showing the updated permissions.
- Adjust review dates if the change was temporary or requires future re-evaluation.
Common Scenarios
Scenario 1: Promoting Media Buyer to Team Lead
Change:
- Role: Limited Advertiser → Admin on existing ad accounts
- Assets: Add access to additional ad accounts for team oversight
- Reason: User now manages a team and needs user management capabilities
Steps:
- Edit user in Business Hub → People.
- Change role from Limited Advertiser to Admin on relevant ad accounts.
- Add new ad accounts with Admin role.
- Ensure user has 2FA enabled before granting Admin access.
- Save changes and document promotion approval.
Scenario 2: Contractor Project Completion
Change:
- Assets: Remove access to specific ad accounts or catalogs
- Keep: Access to other ad accounts still under contract
- Reason: Project completed, but contractor continues on other projects
Steps:
- Edit user in Business Hub → People.
- Remove completed project's ad accounts and catalogs.
- Verify remaining ad accounts are still assigned.
- Save changes and update internal project completion notes.
Scenario 3: Agency Offboarding from Specific Accounts
Change:
- Assets: Remove access to ad accounts no longer managed by agency
- Keep: Access to active client accounts
- Reason: Contract ended for some clients but not others
Steps:
- Edit user in Business Hub → People.
- Remove ad accounts for clients no longer under contract.
- Keep remaining active client accounts assigned.
- Document contract end dates and reasons for removal.
- Save changes and notify agency of the update.
Scenario 4: Developer No Longer Needs Tag Access
Change:
- Assets: Remove Pinterest Tag access after implementation completion
- Keep: Analyst access to ad account for reporting (if needed)
- Reason: Tracking implementation complete, no ongoing tag management needed
Steps:
- Edit user in Business Hub → People.
- Remove Pinterest Tag access.
- Verify ad account access remains (if needed for analytics).
- Save changes and notify developer.
Scenario 5: Restricting Billing Access
Change:
- Role: Admin → Limited Advertiser
- Reason: Separation of duties or user no longer needs billing access
Steps:
- Edit user in Business Hub → People.
- Change role from Admin to Limited Advertiser on relevant ad accounts.
- Verify user can still create and edit campaigns.
- Confirm user no longer sees billing information.
- Document reason for restriction and approver.
Troubleshooting
Changes Don't Appear for the User
- Wait up to 24 hours for permissions to propagate across Pinterest's systems.
- Ask the user to log out and log back in to refresh their session.
- Verify the changes were saved correctly in Business Hub → People.
- Check if the user is signed in to the correct Pinterest account.
User Still Sees Removed Assets
- Confirm you clicked Save or Update after making changes.
- Check for browser caching issues; ask user to clear cache or try incognito mode.
- Verify the correct user was edited (check email address).
- Allow 24 hours for changes to fully propagate.
User Lost More Access Than Intended
- Review the user's permissions in Business Hub → People immediately.
- Re-add any assets that were accidentally removed.
- Notify the user of the error and the correction timeline.
- Document the incident to prevent future mistakes.
Role Change Doesn't Reflect Intended Permissions
- Verify you selected the correct role (Owner, Admin, Limited Advertiser, Analyst).
- Review Pinterest's role permission matrix to ensure the role matches your intent.
- If the standard roles don't fit, consider custom asset-level permissions instead.
Guardrails & Best Practices
- Document all changes: Keep a detailed log of permission updates with dates, reasons, and approvers.
- Communicate proactively: Inform users before making changes, especially restrictions or removals.
- Verify before removing: Double-check that the user truly no longer needs access before removing assets.
- Use the right role: Don't use Admin when Limited Advertiser is sufficient; follow least-privilege principles.
- Review regularly: Set calendar reminders to review user access quarterly or after major organizational changes.
- Separate duties: Keep billing, user management, and campaign execution roles separate when possible.
- Test after changes: Ask users to verify their new permissions work as expected.
